How We Work With Our Clients

  1. All clients must sign our written contract and fax it to us.
  2. You are then billed through PayPal for your initial bookkeeping hours (no PayPal account required for payment).
  3. Periodically submit your source documents via our secure fax number.
  4. After receiving your source documents, we update your QuickBooks file(s) within one week. If you need faster service, let us know. Your data is available 24/7 to both you and your accountant through our secure FTP service.
  5. You continue to be periodically billed through PayPal for our services.
  6. We perform all weekly, monthly, quarterly, and annual or year-end bookkeeping tasks your business requires.

How We Secure Your Data

  • The source documents you fax to us are locked up when not in use. Only authorized employees have keys to the file cabinets where we store client source documents. The rooms where these file cabinets are kept are locked outside normal business hours.
  • Once your source documents are entered into QuickBooks, the bookkeeper makes digital copies (scans them to our computer system) and shreds the originals in a crosscut shredder.
  • Our computer system uses virus software and hardware-based firewalls (which are stronger than software-based firewalls) to guard your data. Furthermore, our computer system is password-protected. Finally, we have taken all possible steps to lock down our computer network and prevent unauthorized access.
  • Our computer system includes redundant data backups. Every computer is backed up to a secure online backup service daily. In addition, every computer has two internal hard drives. Once a month, the primary hard drive is ghosted (copied) to the secondary hard drive. If the primary hard drive fails, we simply boot the computer from the secondary hard drive and restore yesterday's backup from the online backup service. We also backup all data files to external hard drives once a month, which are stored in our company's bank safe deposit box.
